DEFINTION
Under general supervision of the Director of Purchasing, plans, organizes, coordinates, and supervises the operation of the District stores warehouse, including the receipt, storage and distribution of instructional materials, supplies, equipment and mail; implements and maintains an automated inventory and records control system; purchases regularly used supplies; and performs other related duties as assigned.

TYPICAL DUTIES
Plans, coordinates, organizes and supervises the operation of stores warehouse; determines storage space requirements and optimum stock placements and conditions; plans and assigns delivery routes.
Acts as primary point of contact with outside vendors; supervises receipt and inspection of shipments; reviews items for conformance to purchase order specifications as needed; notes shortages, damages, or other discrepancies, and reports to director.
Oversees storage of items, filling of requisitions, sorting and distribution of inter-district, U.S., and UPS mail or deliveries; personally performs such tasks as the workload requires.
Trains staff in proper procedures for warehouse and delivery tasks; adjusts routes or reassigns work as necessary; supervises and evaluates the performance of assigned staff; develops, monitors and controls assigned budget. Ensures that instructional material, mail and other supplies and equipment are delivered in a timely and efficient manner; provides cost data and other information.
Implements, utilizes, and maintains an automated data system for inventory control of warehouse stock and activities; provides information to supervisor regarding warehouse operations and needs; implements procedures for system, assisting supervisor in testing and correcting errors; reviews reports of stock levels and usage, determining optimum stock quantities for commonly used items; informs supervisor of items not utilized or for which complaints are received; conducts physical inventories periodically; maintains back order system, updates and modifies catalogues to reflect current stock descriptions, additions, and deletions.
Supervises or performs data entry, verification, revision, and deletion; generates and analyzes automated reports; maintains extensive logs for automated systems and mail management; prepares a variety of oral and written reports.
Operates a variety of machines and equipment including delivery trucks with tailgate lifts, forklifts, reach truck (aisle stacker), pallet jack, scale, hand trucks, and other warehouse equipment as needed; serves as Warehouse Worker I or II as needed.
Performs other related duties as assigned.
DISTINGUISHING CHARACTERISTICS
The Stores Warehouse Supervisor organizes and supervises the operation of warehousing functions for stores services. It is distinguished from the Warehouse Worker I and II classifications by its supervision of the warehouse operation and the work of a small group of subordinates. Warehouse Worker I is the entry-level classification in the series. Incumbents work in either the District stores or nutrition services operation and receive, store, load, and deliver goods as assigned by either a Warehouse Worker II, a Nutrition Services Warehouse Supervisor, or the Stores Warehouse Supervisor. Warehouse Worker II is the senior-level classification. Incumbents are senior and/or lead workers of the stores or nutrition services warehouse operation and assist the supervisor in ensuring the materials or products are received, stored, and distributed in an efficient and timely manner.
EMPLOYEE STANDARDS
Knowledge of: Modern warehouse procedures, requisitions, purchase orders, invoices, and delivery slips; methods used in receiving, storing, issuing, and automated inventory principles and practices; storage and issuance of supplies, equipment, and mail; equipment and supplies used in a school system; proper methods of loading and unloading delivery vehicles; operation of equipment and machines used in receiving, storing and shipping of perishables, supplies and equipment; proper lifting techniques; space utilization and “first-in” “first-out” (FIFO) inventory techniques; ; basic clerical procedures, record-keeping and report preparation techniques; basic public purchasing practices; safe driving and vehicle maintenance procedures; principles of staff training, safety, supervision and performance evaluation; and operation of computers, peripheral equipment, programs, and systems used in a warehouse and/or school environment.
Ability to: Plan, organize, coordinate and supervise the operation of a warehouse including the delivery of supplies, equipment, and mail; maintain accurate and current automated records of stock transactions; develop, monitor and control a budget; plan and assign delivery routes; load and unload shipments of supplies and equipment; read and understand packing codes, best if used by date, and other expiration code dates; analyze situations effectively and adopt an appropriate course of action; operate various types of mechanical equipment used for handling stock; operate a forklift, pallet lift and delivery vehicle safely; ensure the maintenance of delivery vehicles; verify deliveries; prepare, maintain and analyze accurate and complete records and reports, including catalogs; enter data on a computer keyboard and operate assigned software; assist in determining storage space requirements and proper methods of monitoring inventory; understand and follow Cal/OSHA safety, and other county, federal, and state rules and regulations; implement safety and sanitation procedures; prioritize and schedule work; meet schedules and timelines; maintain consistent, punctual, and regular attendance; work independently with little direction; train, supervise, and evaluate assigned staff; establish and maintain effective working relationships with vendors, supervisors, administrators, co-workers, and general public.
Essential Physical Activities and Work Environment: Sufficient stamina to stand, walk, climb, kneel, reach, twist, crouch, squat, balance and bend in the performance of warehouse functions on a daily basis; Needs sufficient physical ability to lift, carry, push, or pull moderately heavy objects up to 50 lbs without assistance and up to 100 lbs. with assistance; mobility to climb and descend ladders; sufficient finger dexterity to grasp, push, and pull objects (e.g. boxes, hand carts, pallets, ladders, textbooks, mailbags, steering wheel); sufficient stamina to perform moderate to heavy manual labor on a daily basis; sufficient dexterity to work in confined areas; sufficient hearing and speaking to give and receive instructions; and vision sufficient to observe work areas, operate a vehicle, and read fine print; mobility sufficient to drive a vehicle to various locations. Work is usually performed in a warehouse, indoor and outdoor environment with occasional exposure to outdoor elements.

Typical Background: Any combination of training that demonstrates the knowledge and abilities to perform the typical duties. A usual way to obtain the knowledge and abilities would be high school graduation or the equivalent, preferably supplemented by related college course work or vocational classes in warehouse operations or material management, and four years of increasingly responsible experience performing warehousing or storekeeping activities, including shipping and receiving experience involving automated inventory and records control, with one year in a lead or supervisory capacity.
An Associate’s degree is desirable.
Licenses and/or Certificates: Possession of a valid Class C California driver’s license. Must meet District vehicle and liability insurance requirements, as appropriate. May be required to obtain job-related certificates after appointment.
Qualifications: In order to be considered qualified for a vacancy in this classification, a candidate must possess the required background and successfully demonstrate such background, knowledge, skills and abilities through an examination process.
