DEFINITION
Under general supervision, to operate a private branch telephone switchboard to receive and route calls to appropriate school and District personnel; to perform receptionist duties at the District Office and provide information and answer routine questions; to perform general clerical duties in support of the personnel function; and to perform related duties as assigned. A bilingual position performs the same duties in English and Spanish.
TYPICAL DUTIES
Performs receptionist duties, such as greeting, directing, and assisting parents, prospective employees, vendors, and other visitors to the District Office.
Operates a centralized telephone switchboard, connecting callers to proper offices, sites and personnel.
Opens and closes the District office according to established procedures; posts notices and announcements in appropriate areas.
Provides routine information concerning District meetings, activities, locations, policies and procedures; refers callers to District personnel for more detailed information.
Maintains a calendar of appointments, conferences and meetings for District Office meeting rooms.
Trains relief operators and prepares recorded messages for use appropriate during non-business hours.
Refers telephone service requests to appropriate personnel.
Communicates with other departments, District staff and outside organizations regarding District activities, policies and procedures.
Performs a variety of clerical duties in support of personnel functions; assists with special projects as assigned.
Receives, distributes or notifies appropriate personnel of incoming packages.
Operates standard office equipment such as a computer, printer, and assigned software.
Performs related duties as assigned.
A Telephone Operator and Information Clerk-Bilingual (Spanish) performs the same duties as above and assists non-English speaking callers/visitors; may translate between English and Spanish for non-English speaking caller and District personnel and may translate routine written materials into Spanish.
DISTINGUISHING CHARACTERISTICS
Positions in this class are distinguished from those in the Clerk Typist series by being the primary interface with the general public, and breadth of familiarity required of the functions throughout various divisions, departments, programs, services and school sites.
EMPLOYMENT STANDARDS
Knowledge of: Operation of a multi-line telephone console and standard business machines; reception techniques and telephone etiquette; modern office practices, procedures and equipment.
Ability to: Operate a switchboard; operate modern office equipment; greet the public with tact, patience, and courtesy; work cooperatively with others; hear and speak clearly and distinctly on the telephone. Provide information, directions and assistance. Perform general clerical support duties including typing, filing and duplicating. Operate a variety of office equipment including a computer and assigned software. Complete work with many interruptions. Maintain a high level of attendance, reliability, and dependability; use good judgment in handling or referring non-routine calls. A bilingual position must have the ability to speak, read, and write Spanish and English clearly and correctly.
Essential Physical Activities and Work Environment: Work is performed in the District Office reception area. Must have sufficient physical ability and stamina to sit for long periods of time, operate a switchboard, and use voice constantly; vision sufficient to read written communications, printed materials, and data on personal computer screen; hearing and speaking sufficient to effectively communicate clearly and distinctly in person or on the telephone; remain in an area subject to some heat and other conditions from individuals entering and exiting; meet and greet people all day long. Must have mental ability sufficient to perform general clerical tasks and to comprehend inquiries. The job generally requires 90% sitting, 5% walking, and 5% standing.
Typical Background: Graduation from high school or the equivalent and one year of general clerical experience in a computerized environment involving extensive public contact. Experience handling a large volume of phone calls is preferred.
Qualifications: In order to be considered qualified for a vacancy in this classification, a candidate must possess the required background and successfully demonstrate such background, knowledge, skills and abilities through an examination process.
